Jane App is a practice-management platform and EMR that brings scheduling, billing, and charting into one system, and it now sells an AI Scribe add-on at $15/month per opted-in practitioner. This guide walks through Jane’s schedule setup, what the AI Scribe includes, and a copy-paste workflow for pairing Jane with Klarify’s therapy-specific AI progress notes. The workflow is the same whether you practice in the US or Canada.

What Does Jane App Do Well?
Jane runs the front desk. In its own words, it brings “scheduling, charting, billing, payments, patient communication, and more into one connected system,” and it reports more than 240K private health practitioners on the platform. Those practitioners span many health and wellness disciplines, counseling among them, so therapy is one audience of many. Jane’s pricing page showed CAD prices when we checked, and for Canadian clinics, insurer integrations (TELUS eClaims, Teleplan, Pacific Blue Cross PROVIDERnet) are built in.

Jane offers no free trial (you book a demo instead), but data imports and migration support are free. On compliance, Jane’s pricing page lists HIPAA, PIPEDA, and GDPR compliance, SOC 2 audits, 99.9% uptime, and 256-bit encryption. Two things it does not state on the pages we checked: PHIPA, and where your data is hosted. If you practice in Ontario, that first absence is worth a direct question to Jane’s sales team before you sign. Klarify, by contrast, states both: it is PHIPA compliant, and all of its data is stored in Canada. How Do You Set Up the Jane App Schedule?
Jane’s schedule is built around shifts. You set each practitioner’s availability with Manage Shifts, adjust clinic hours in Schedule/Diary Settings, then enable Online Booking so clients can book into open shifts themselves. Day to day, you work from the Schedule tab: day or week view, drag shifts to move them, and a Staff Today button to see who is in. Here is the setup, condensed from Jane’s own guides.
Initial setup (from Jane’s Step 5: Schedule guide):
Create shifts. Manage Shifts is Jane’s primary scheduling tool. Select the dropdown arrow beside the shift button for each staff member and set their availability across your chosen timeframe. If several clinicians work identical hours, copy one schedule across the team.
Set clinic hours in Schedule/Diary Settings to change the opening and closing times shown on the schedule grid.
Turn on Online Booking. Once shifts exist, enable Online Booking on them so clients can self-book. Each shift also carries a repeat pattern, a call-to-book option, and an online-bookability toggle.
Rooms and Tags (Thrive plan only). Enable Advanced Scheduling first, then use Rooms and Tags to manage room or equipment availability per treatment.
Working the schedule day to day (from Working With the Schedule):
Open the Schedule tab at the top left. Day View shows one or more practitioners for a single day, and Week View shows seven days in columns.
Staff Today creates a column for every practitioner with bookings today. It’s the fastest morning overview.
Click a practitioner’s name to show only their column; hover and click the plus symbol to add more. Filter the list by location or discipline with the dropdowns above it.
To move a shift, click the Shifts button and edit in the pane that appears, or just drag the shift block to a new time on the grid.
The Wait List button shows wait-listed clients for the practitioner and date on screen. Reminders shows clients who asked for phone reminders or have no email on file.
The cogwheel at the bottom right controls zoom, staff photos, and grouping by discipline.

Does Jane App Have AI Notes?
Yes. AI Scribe is a named Jane feature and a priced add-on: $15/month per opted-in practitioner for unlimited notes, with 5 notes per month included free on every plan. Jane’s homepage describes it as “AI-powered charting, automatic forms, smart templates, performance reports, and more.” What the public pages do not say, as of 18 August 2026: which note formats it produces, how it captures the session, which languages it supports, or how client consent is handled. If those details matter to your practice (for a therapist they should), ask Jane directly.
That’s less a criticism than a reflection of who Jane serves. A scribe built for every health discipline is built for the average chart, and a therapy progress note is not the average chart.

The last row is Jane’s win. Notes that appear inside the legal record, with no second tool and no copy-paste, are a real convenience. How Do You Use Klarify Alongside Jane App?
There is no direct integration, and the workflow does not need one. Jane stays your schedule, biller, and legal record. Klarify sits in the session and writes the note, and one paste connects the two. The whole loop adds a single step to what you already do.
Book and run the appointment in Jane as usual: schedule, reminders, telehealth link.
Get recording consent and chart it. In the US, requirements vary by state and licensing board, so check both before you record. In Canada, check your college’s standard (CRPO and OPQ differ here) and your province’s privacy law: PHIPA in Ontario, PIPEDA federally, Loi 25 in Quebec.
Capture the session in Klarify. The browser recorder takes mic and screen audio, so telehealth sessions run through Jane or any video platform are captured from your side of the call. Sessions can run up to 3 hours.
